Describe the known scenario with route, type of goods, expected packages and time frame, and mark assumptions as such. If you are comparing several sourcing options, such as two suppliers in different locations, describe each with the same fields. Purchasing can then assign every response to a clear scenario and have it updated later in a targeted way.

What an initial estimate rests on

Route and number of packages determine the basic effort, dimensions and weight the vehicle size, and date commitment and loading conditions the additional effort. The more clearly these four points are described, the closer the estimate will be to the later quotation. Uncertain values are not a problem as long as they are recognisable as estimates.

From budget to quotation

Once supplier, packaging and readiness are fixed, update the enquiry with the confirmed data. We then prepare the firm quotation and show what has changed compared with the estimate. That keeps it clear why an amount has shifted.
