Plan your transport
Agree with the project lead which items are needed together; this produces sensible shipment groups. For each group, state the readiness status and requested date. Purchasing keeps the link to the overall order, while shipping and the recipient work with the quantities actually assigned. If one part is delayed, we update only the affected group – the other shipments continue unchanged.
Forming the right shipment groups
A good group contains everything the recipient needs at the same time for one work step – not simply whatever happens to be finished. Example: base frame and fixing kit together, electronic assemblies later with the test setup. This avoids part deliveries that only end up in interim storage at the destination.
References across several shipments
Each part shipment gets its own reference pointing to the overall order, such as project number plus delivery 1/3. Receiving can assign every arrival, and purchasing can see at any time which items are still open.
What matters
- Form groups according to actual project needs
- Keep a separate packing list for each part shipment
- Inform the recipient about outstanding items
