Plan your transport

Assign each instruction to a package reference and mark it on the packaging as well, for example with orientation arrows or labelled lifting points. A simple sketch of the outer packaging showing the relevant spots helps more than a long operating manual. Limit yourself to details actually needed during the physical handover and name a reachable specialist contact for questions.

Which details really matter

Relevant for loading and transport are usually: permitted orientation, lifting or fork points, centre of gravity with uneven weight distribution, surfaces that must not bear load and whether the package may be stacked. Include manufacturer requirements for storage or commissioning where they affect transport, waiting periods or handover. Instructions that relate solely to operating the equipment remain in your own documentation.

Marking on the package

An instruction that only exists in an email is of little help at the loading point. Common symbols such as this way up, fragile or centre of gravity, plus marked lifting points, are understood immediately. When marking and enquiry match, everyone involved in the handover can follow the requirements.

What matters

  • Relate instructions to specific packages
  • Mark orientation and lifting points on the packaging
  • Name a technical contact for questions in the enquiry
